GREAT COXWELL PARISH ROOM

Minutes of the Great Coxwell Parish Room meeting held in the Parish Reading Room immediately after the Parish Council meeting on Monday 9th February 2009.

PRESENT: Mr. E. Daffern, Mrs. A. Burns, Mr. M. Durham and Mrs. A. Zinovieff.

1.             APOLOGIES:

Apologies were received from Mr. A. Whiting and Mrs. Prichard

2.             MINUTES OF MEETING HELD ON MONDAY 10TH NOVEMBER AND MONDAY 8TH DECEMBER 2008:

These were agreed and signed.

3.         MATTERS ARISING FROM THE MINUTES:

                a.             Hire Charges - These would be reviewed at next meeting.

                b.             Risk Assessment - It had been recommended that no more than 60 people should be in Reading Room at any one time.  It was agreed that this would be adopted and added on to all relevant paperwork.

                c.             Premises License - This was now completed and ready to be submitted at a one-off  cost of £100 plus an advertisement in a local paper.

4.             DECLARATION OF INTEREST - None

5.                   FINANCES - Mr. Daffern informed the Committee that any deficit in the Parish Room accounts would need to be transferred from the Parish Council at the next meeting before the end of the financial year as agreed and recorded in the Parish Council minutes 8th December 2008.

6.             CORRESPONDENCE:

                a.             Bills - Gas and Electricity bills are now on an annual fixed rate and invoices to be paid by direct debit. The following amounts had been deducted:

                British Gas            -               £122.38 (116.56 + £5.82 VAT)

                British Gas (electricity)-      £27.37 This amount is to be queried as no invoice has been received

                Payment for the following was approved:

Thames Water - having queried the invoice dated 18th November the cheque for £31.09 (minutes 2011) has been cancelled and replaced with cheque for £11.75

M.N. Denee           -               £15.00

British Gas (electricity)       £22.75 (£18.19 + VAT plus previous balance £3.65)

                b.             General - The Vale has provisionally booked the Parish Reading Room on 4 June for European/ County elections.

The next meeting will be held on Monday 9th March 2009 in the Parish Reading Room immediately after the Parish Council Meeting at 8pm.
