Records Management Policy

 

Toseland Parish Council: Records Management Policy - Retention, Destruction, Archiving

The Parish Council's Records Management Policy is that set out by NALC in its legal topic note LTN09 ‘Local Councils' Documents and Records', November 2007 [see also Chapter 11 of Local Council Administration by Charles Arnold Baker (7th Edition)].  The minutes are recorded in a Minutes Book in accordance with the Local Government Act 1972, paragraph 41 of Schedule 12 and are also available in digital form. 

When the Minutes Book is full and is no longer required for reference, it will be offered to the Huntingdonshire Record Office.  Ephemera is destroyed when it has ceased to be useful.  Documents relating to material change in the village are retained for historical purposes.  Planning policy documents are retained until they are superceded.

Because of the low number of financial dealings in any year, the financial records are retained. 

Because of the small number of potentially developable sites in the village, records of planning applications and decisions are also kept for information purposes.
